Terms of Service

1. Acceptance of terms

By creating an account or using ScoutCRM, you agree to these Terms of Service. If you do not agree, do not use the service. These terms form a binding contract between you (or the organisation you represent) and AiCitizen, the operator of ScoutCRM.

These terms are governed by the laws of England and Wales.

2. The service

ScoutCRM is a subscription-based CRM and lead generation tool for UK businesses. It allows users to search for UK businesses by sector and location, enrich leads with Companies House data, and generate outreach materials using AI.

We reserve the right to modify, suspend, or discontinue any part of the service at any time with reasonable notice.

3. Eligibility and accounts

You must be at least 18 years old and have authority to enter into a binding contract on behalf of your organisation to use ScoutCRM.

You are responsible for maintaining the security of your account credentials. Notify us immediately at sales@scoutcrm.co.uk if you believe your account has been compromised.

Each organisation has one account. Sharing login credentials between multiple people outside of the team member invite system is not permitted.

4. Subscriptions and billing

ScoutCRM is offered on a subscription basis. Plans are billed monthly or annually per seat as described on the pricing page.

Free trial — Starter plans include a 14-day free trial. A valid payment method is required at signup. You will not be charged until the trial ends. You may cancel before day 14 to avoid any charge.

Renewals — subscriptions renew automatically at the end of each billing period. You can cancel at any time from the Settings page; cancellation takes effect at the end of the current billing period.

Upgrades and downgrades — plan upgrades take effect immediately. Downgrades take effect at the end of the current billing period.

Refunds — we offer a full refund within 7 days of your first payment if you are not satisfied. Contact sales@scoutcrm.co.uk. After 7 days, refunds are at our discretion.

VAT — all prices shown exclude VAT. UK customers will be charged VAT at the standard rate (20%) at checkout.

Failed payments — if a payment fails, we will retry up to three times over 7 days. If payment is not recovered, your account will be suspended until payment is updated.

5. Acceptable use

You agree not to use ScoutCRM to:

  • Violate any applicable law or regulation, including UK GDPR and the Privacy and Electronic Communications Regulations (PECR)
  • Send unsolicited bulk email (spam) or engage in harassment
  • Scrape, copy, or redistribute ScoutCRM data outside the platform without permission
  • Attempt to reverse engineer, decompile, or circumvent security measures
  • Use the service to prospect consumers (natural persons) rather than businesses
  • Resell or white-label the service without a written agreement
  • Submit false or misleading information

We reserve the right to suspend or terminate accounts that violate these terms without refund.

6. Data and privacy

Our Privacy Policy explains how we collect and use your data. By using ScoutCRM, you agree to our data practices as described there.

Shared business data — by using ScoutCRM, you agree that business contact information you add or enrich (company phone numbers, email addresses, websites) may be shared anonymously across the platform to benefit all users. This does not include your personal data, account information, notes, or CRM activity. You can opt out by contacting us.

Your data — you retain ownership of all data you input into ScoutCRM. We do not claim any intellectual property rights over your lead data, notes, or activity logs.

B2B prospecting — ScoutCRM is designed for business-to-business prospecting only. You are responsible for ensuring your outreach complies with applicable law, including PECR for electronic marketing. We provide tools; you are responsible for how you use them.

7. Companies House data

Companies House data displayed in ScoutCRM is sourced from the free Companies House API and is subject to the Open Government Licence v3.0. This data is provided for informational purposes. ScoutCRM makes no warranties about its accuracy or completeness.

8. AI-generated content

Growth and Pro plans include AI-generated email drafts and call scripts via Anthropic's Claude API. This content is generated automatically and may contain errors or inaccuracies. You are responsible for reviewing all AI-generated content before use. ScoutCRM is not liable for any outcomes arising from use of AI-generated outreach materials.

9. Intellectual property

ScoutCRM, its logo, design, and software are owned by AiCitizen and protected by copyright and other intellectual property laws. You may not copy, modify, or distribute any part of the platform without written permission.

OpenStreetMap data used in lead generation is © OpenStreetMap contributors and licensed under the Open Database Licence.

10. Limitation of liability

To the maximum extent permitted by law, AiCitizen is not liable for any indirect, incidental, special, or consequential damages arising from your use of ScoutCRM, including but not limited to loss of profits, loss of data, or business interruption.

Our total liability to you in any 12-month period shall not exceed the amount you paid to us during that period.

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded under English law.

11. Disclaimers

ScoutCRM is provided "as is" without warranties of any kind, express or implied. We do not warrant that the service will be uninterrupted, error-free, or that search results will be complete or accurate.

Lead data sourced from OpenStreetMap and Companies House is publicly available data. ScoutCRM does not guarantee the accuracy, completeness, or currency of any data displayed.

12. Termination

You may cancel your account at any time from the Settings page. Cancellation takes effect at the end of your current billing period.

We may suspend or terminate your account immediately if you breach these terms, engage in abusive behaviour, or if required by law. In the event of termination for breach, no refund will be issued.

On termination, your access to the service ceases. You may request an export of your lead data within 30 days of cancellation by contacting sales@scoutcrm.co.uk.

13. Changes to these terms

We may update these terms from time to time. We will notify registered users by email of material changes at least 14 days before they take effect. Continued use of ScoutCRM after that date constitutes acceptance of the revised terms.

14. Governing law and disputes

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

If you have a complaint, please contact us first at sales@scoutcrm.co.uk. We aim to resolve all complaints within 5 business days.
